The Vehicle Invoice Settings is a singleton DocType that serves as the central control panel for the validation rules within the Vehicle Invoice Management application. It allows administrators to globally enable or disable specific checks that are performed on vehicle invoices, ensuring that all financial records related to trips adhere to company policies.

Purpose and Function

The primary function of this settings page is to provide a simple, centralized way to manage cost-control validations. By toggling these settings, you can enforce limits on key operational metrics like fuel consumption, idling time, and miscellaneous expenses without modifying any code. These settings are then read by the Vehicle Invoice document's validation (validate limits) to determine which checks to execute.

Configuration Steps

  1. Navigate to the settings page by searching for Vehicle Invoice Settings in the Awesome Bar.
  2. As a singleton DocType, the configuration page will open directly.
  3. Check the boxes for the validations you wish to enforce.
  4. Click Save to apply the changes system-wide.

Available Settings

Setting Description
Validate Diesel Limits If checked, the system will verify that the diesel consumed during a trip does not exceed the pre-defined limit for that vehicle or route. If it does, the invoice will be blocked.
Validate Expense Limits When enabled, this setting activates a check on all line items in the "Other Expenses" section of an invoice. Each expense is compared against its defined limit, preventing inflated or unauthorized claims.
Validate Idling Limits If this is checked, the system will validate the vehicle's idling time, both during the trip and between trips, against configured thresholds. This helps control fuel wastage and promotes efficient driver behavior.
