Vehicle Fitness Certificate

The Vehicle Fitness document is designed to manage and track the Fitness Certificates (FC) for all vehicles in your fleet. This is crucial for ensuring that every vehicle meets the mandatory safety and roadworthiness standards set by regulatory authorities. The system integrates with the official Vahan portal to allow for seamless verification of certificate details.

How to Create a Vehicle Fitness Record

  1. Navigate to: Dashboards > Vehicle Fitness.
  2. Click + Add Vehicle Fitness.
  3. Fill in the fitness certificate details as described in the table below. The License Plate and FC Expiry Date are mandatory.
  4. Upload a scanned copy of the official Fitness Certificate using the Attach Document field. A document must be attached to enable verification.
  5. Click Save.
  6. After saving, a Verify With Vahan button will appear. Click this button to automatically validate the certificate's expiry date against the Vahan database.

Is Vahan Verified A read-only checkbox that is automatically ticked if the certificate details are successfully validated with the Vahan service. No
Verified Datetime A read-only timestamp showing when the last successful Vahan verification was completed. No
Verification and Status Workflow

The system uses a clear, color-coded status indicator to help you quickly assess the compliance status of each vehicle's fitness certificate. The status is updated automatically based on document uploads and Vahan verification results.

  • Pending Document Upload: The record has been created, but the fitness certificate has not been uploaded. Verification is not possible in this state.
  • Not Verified: A document has been uploaded, but its details could not be validated against the Vahan portal, or the verification has not been attempted yet.
  • Verified: The certificate has been uploaded and its expiry date has been successfully confirmed with the official Vahan database.
  • Disabled: The fitness certificate has been superseded by a newer one. The system automatically disables older records to ensure only the current, active certificate is considered.
